Artificial Intelligence Policy

This policy outlines Firefish Software’s commitment to the ethical, transparent, and responsible deployment of Artificial Intelligence (AI) technologies. It is intended for customers using Firefish products and services and ensures alignment with the EU Artificial Intelligence Act (EU AI Act).

1. REGULATORY ALIGNMENT: EU AI ACT

Firefish Software operates as a deployer of Limited Risk AI systems under the EU AI Act. Limited Risk AI systems are those that interact with users or generate content but do not pose significant risk to health, safety, or fundamental rights.

Firefish’s AI features, including job advert generation, CV parsing and SEO suggestions; support recruitment workflows without making autonomous decisions that affect individual’s rights or access to employment.

All AI features within Firefish are built by design to adhere to the requirements of the EU AI Act.

Firefish Software additionally deploys an AI support agent to assist with any support queries from the customer, with the option of speaking to a human support agent if requested.

As a deployer of Limited Risk AI, Firefish Software complies with the relevant obligations under the EU AI Act, including:

  • Transparency:  Informing users when they are interacting with AI-generated content.
  • User Awareness: Ensuring users understand the role and limitations of AI features.
  • Human Oversight: Maintaining human control over all decisions influenced by AI outputs.

2. AI GOVERNANCE PRINCIPLES

Firefish Software’s AI governance is built on the following principles:

  • Transparency: Clear communication about AI functionality and outputs.
  • Human-in-the-Loop: AI features are designed to assist, not replace, human decision-making.
  • Accountability: Defined roles and responsibilities for AI deployment and oversight.
  • Privacy and Data Protection: Full compliance with GDPR and data minimisation practices.
  • Fairness and Non-Discrimination: Regular testing to prevent bias and ensure equitable outcomes.

3. USE OF AI FUNCTIONALITY

Where Firefish Software provides functionality within the Firefish product that is powered by artificial intelligence (AI), such functionality may leverage Microsoft Azure OpenAI Services. In such cases:

  • Customer data submitted to AI features within the Firefish platform is processed by Microsoft Azure OpenAI under Microsoft's terms of service and privacy commitments.
  • Firefish Software Ltd confirms that data processed by Azure OpenAI Services is not used to train, retrain, or improve any AI models, and is not shared publicly or used by Microsoft to improve its foundation models.
  • All data processing through Azure OpenAI occurs within Firefish's controlled Azure environments and is subject to Microsoft's enterprise-grade data handling and security standards as detailed in Microsoft's Azure OpenAI data privacy documentation.
  • Firefish Software Ltd maintains full control over the data submitted to AI features and ensures compliance with applicable data protection laws.

4. THIRD PARTY AI INTEGRATIONS

Firefish does not accept liability for any outcomes, errors, or issues resulting from the use of third-party AI tools or services that have been enabled by the customer within the Firefish platform. While we aim to support smooth integration processes, the functionality, accuracy, and compliance of external AI solutions remain the responsibility of the customer and the third-party provider. We strongly recommend that customers carry out appropriate due diligence before enabling or relying on any third-party AI features.
